Your privacy is important to Monash College Group

This statement outlines Monash College Group's policy on how we manage the personal information we hold about our customers and others. It applies to all branches in Monash College Group including:

  • the International Marketing and Recruitment Operations
  • Monash College
  • Monash University English Language Centre
  • Monash Abroad and
  • Monash International Projects

It also includes associate companies involved in the collection and transfer of personal information:

  • Registered agents
  • the Service Centre.

Monash College Group is a subsidiary of Monash University and as such complies with the Privacy standards and the Confidentiality policy of the University. The University Privacy Statement and the Confidentiality policy can be accessed on the Monash University web site.

Monash College Group's privacy policy is based on openness

We are committed to being open about how we use personal information. Where our documents ask for personal information, we will generally state the purposes for its use and to whom it may be disclosed.

Why does Monash College Group collect personal information?

Our business is to:

  • market and recruit international students for study at Monash University
  • market, recruit, enrol and conduct pathway programs (Monash College and MUELC) for students through the Access Division
  • provide scholarship management for international students
  • provide study abroad and exchange management for Monash students wishing to study overseas and international students wishing to study part of their programs at Monash University
  • provide support services for international students during their time at Monash University
  • bid for consultancy project work using the University's resource base

Monash College Group maintains records of its:

  • applicants throughout the selection process for places at Monash University
  • application and enrolment records for students applying for and accepting places in Access Division programs of study
  • applicants for international scholarships and payment details of enrolled students on scholarship
  • applicants and enrolled students on study abroad programs overseas or exchange programs at Monash
  • registered agents contracted to recruit students on behalf of Monash College Group and
  • contacts and University staff involved in consulting bids and projects

Collecting personal information also allows us to meet legal obligations we might have.

What kind of personal information do we ask for?

The nature of the services we provide and government regulations determine the range of personal information we require from our customers.

We obtain most of the information directly from our customers through application forms or via the internet, from our enquiry management service or from face to face discussion. We may also obtain information from other sources eg accrediting bodies who may provide results but will always advise what information we receive and who provides it.

We may ask for other information voluntarily from time to time (for example, through market research, surveys or special offers) to enable us to improve our service or consider the wider needs of our customers or potential customers.

If you choose not to provide the information we need to process your application or enrol you in a course of study we may not be able to provide you with the offer of a place or may be required to cancel your offer. Such a decision would more often than not remove you from consideration for inclusion in consultancy projects.

How do we use this information and who may we disclose it to?

We use the personal information we collect about you to perform our business function, fulfil our legal obligations and to enable University staff to provide the support services that we provide to our customers.

Depending on the circumstance and particular restrictions on sensitive information, this means that personal information may be disclosed:

  • in statistical form where the individual is not identified
  • where legislation requires us to report information (eg eCOE purposes and enrolment reporting)
  • where it forms part of the primary purpose of collection (eg International Projects applications)
  • when required by a legal warrant or summons
  • in situations where harm to a person or substantial property is imminent
  • specifically, to contact parents or guardians of students less than 18 years old, where it is deemed to be in the interests of the student

It is recognised that the transfer of information collected by or transferred to a third party in Australia or another country may occur as part of the normal operations of the organisation. This could be:

  • the collection and transfer of information by associates involved in prospect management on behalf of Monash College Group
  • the transfer of information to and from an off shore partner or recruitment agent
  • an Australian Immigration Office with respect to visa processing
  • reporting required by legislation to Commonwealth and State agencies and the ESOS Assurance Fund or
  • to an overseas Government as part of a development project

The transfer of this information would form part of the necessary process for the performance of the contract between you, the individual and Monash College Group.

Generally, we require off shore partners, associates and recruitment agents who collect or obtain personal information as service providers to Monash College Group acknowledge the confidentiality of this information, undertake to respect any individual's right to privacy and comply with the National Privacy Principles and this policy.

Some personal information we hold is 'sensitive'. Sensitive information can relate to a person's racial or ethnic origin, tax file number, state of health and medical history.

The way we use tax file numbers is restricted by law.

Monash College Group trains its employees who handle personal information to respect the confidentiality of customer information and the privacy of individuals. Monash College Group regards breaches of your privacy very seriously and will impose appropriate penalties.

How do we store personal information?

Safeguarding the privacy of your information is important to us, whether you interact with us personally, by phone, mail, over the internet or other electronic medium. We hold personal information in a combination of secure computer storage facilities and paper-based files and other records, and take steps to protect the personal information we hold from misuse, loss, unauthorised access, modification or disclosure.

We may need to maintain records for a significant period of time. However, when we consider information is no longer needed, we will remove any details that will identify you or we will securely destroy the records.

How do we keep personal information accurate and up-to-date?

Monash College Group endeavours to ensure that the personal information it holds is accurate and up-to-date. We realise that this information changes frequently with changes of address and other personal circumstances so the accuracy of the information depends to a large extent on the information you provide. We can generally update your customer information over the telephone or via e-mail.

You have the right to check what personal information about you is held

Under the Commonwealth Privacy Act, you have the right to obtain a copy of any personal information which Monash College Group holds about you and to advise Monash College Group of any perceived inaccuracy. The Act does set out some exceptions to this.

To make a request, you will need to complete an application form verifying your identity and specifying what information you require.

We will acknowledge your request within 14 days and respond promptly to it. We may charge a fee to cover the cost of verifying the application and locating, retrieving, reviewing and copying any material requested.

The Monash College Group website provides you with many interactive tools designed to help you:

  • make an enquiry re courses and services provided by the University
  • to make application for entry to a tertiary course
  • to make application and enrol in an Access Division course of study and
  • submit curriculum vitae details for project consultancy work

Monash College Group may collect personal information you enter when using the interactive tools on our website.

What is a Cookie and how does Monash College Group use cookies?

Cookies are small pieces of text stored on your computer to help us determine the type of browser and settings you are using, where you have been on the web site, when you return to the web site, where you came from, and to ensure your information is secure.

The purpose of this information is to provide you with a more relevant and effective experience on the Monash College Group website, including presenting web pages according to your needs or preferences.
