ROPES Data Updates - Required EvidencePublication and Externally-funded Project/Grant Updates - particularly requests for the creation of a record where one doesn't exist - MUST now be accompanied by hardcopy evidence. In the case of publications, evidence must be made available upon request, in the likely event of an audit. Requirements are stricter for grants/project updates. Externally-funded Grant/Project Update Submissions:
Please send copies of the sighted original documents being 1. and 2. above (certified and signed to this effect), plus the print-out of the online form submission. Where a ResearchMaster (RM4) Code cannot be supplied via the form, OR the Record Management Office (RMO) File for the record contains insufficient information (we will advise you directly if the latter is the case), submission of the hardcopy evidence (listed above) to the Research Office is MANDATORY. Publications Update Submissions:Please check first with your Faculty Publications Coordinator who should receive your update request. It does vary from faculty to faculty.Please don't forget to sign and send the printed copy of your submission to your faculty publications coordinator (or possibly your school's or department's publications entry officer - which is why you should check first). You are required to have ready-at-hand, the required evidence in the event of an audit. For publications updates, this is the mandatory evidence routinely collected, same as for DEST collectible works. For non-DEST collectible works, exhibitions or performances, etc., please consult with your faculty research office in the first instance to determine adequate evidence requirements. NOTE: For publications updates, you are required to sign either:
- any of the above - constituting your declaration that the details you provide are true and correct and that you are able to produce the required evidence in event of an audit.
Future audits will require such evidence to be produced to substantiate grant and publication data.
