An author has more than one payslip location.
How should their AOU be recorded in RM4? |

Answer: |
The AOU can be apportioned on the publication
being claimed provided the person entering the data inserts comments in
the "related comments box" in RM4/PWI. For example an author may
have 50% of their salary paid through Department A and 50% through Department
B. The administrator would either a) submit a personnel modification form
to the RM4 service desk requesting the personnel (author) AOU be split between
Departments A & B (refer to 4.9) and/or b) edit the author AOU and insert
two AOU's (Department A and Department B) against the author on that specific
publication. |

Question: |
A research paper has two Monash authors. The
first named author is a student from department A and the second named author
is a supervisor from department B. Is the second named author allowed to
claim the paper under department B? |

Answer: |
The university policy is the first named Monash
author should claim the paper to avoid multiple submissions from different
departments or faculties. However in this example the senior author can
submit the paper provided (a) department B confirms with department A that
this is their intention and (b) the person entering the data insert comments
in the "related comments" box" in RM4/PWI. |

Question: |
A conference proceeding is published on a CD
and has no editor. How do I verify who the editor is? |
|

Answer: |
An email from the proceedings publisher confirming
the editor/editors is sufficient evidence. The name of an organisation is
not appropriate as editor. |

Question: |
Two 2nd edition papers were submitted for the
Monash publication collection. One was a four page journal article and the
other a 50 page book chapter. Both were republished with 30% new material
(research and content). Can they qualify as new original research? |

Answer: |
The Monash policy is that republished work must
be significantly different from an earlier version to be claimed as original
research. Significant in this context means > 50% new research and content.
Based on this definition the 4 page journal article will not qualify as
it does not meet the 50% cut-off. However the 50 page book chapter contains
30% new material that constitutes around 15 pages (including new references)
and is evidence of substantial scholarly activity (Sect 9.1 DEEWR HERDC
Specifications). Therefore in this example the book chapter is eligible
to be claimed. |

Question: |
A publication with evidence is submitted to a
department. The FORM 1 does not include the RFCD code. Should the department
enter the code on behalf of the authors? |
|

|
|
|
|
Answer: |
The requirements of the RQF and Monash require
the author to nominate the appropriate RFCD code/s. Where the codes have
not been included on FORM 1 the department should contact the submitting
author and seek advice on the correct code located on the Research Office
website (web ink). |

Question: |
An author on a publication appears in RM4 Personnel
Module as having a status of both student and staff member. What is their
correct status as far as the publication is concerned? |

Answer: |
The author and publication should be checked
for two things (a) was the publication a result of their thesis and (b)
Are they currently a Monash staff member? If the author meets point (a)
then they should be recorded as a student on that specific publication.
If however the author is a current Monash staff then they may recorded as
staff on the publication, however if they are no longer part of Monash then
their status can only be recorded as student. |

Question: |
An author holds an appointment in a school in
Monash South Africa but their DEEWR publications were previously claimed
by an Australian based Monash Faculty. Is Australian based faculty still
allowed to claim their contributions? |

Answer: |
Monash South Africa (and Monash Malaysia) now
participate in the DEEWR Publication Collection. Therefore any DEEWR contributions
from their staff will be allocated to their campus and not to an Australian
based Monash faculty. |

Question: |
An author submits a publication in a foreign
language. While the abstract is in English the rest of the paper and supporting
evidence is not in English. Is the abstract sufficient to demonstrate the
paper is scholarly research? |

Answer: |
All foreign language publications submitted for
the publication collection should meet the minimum requirements that are
(a) the mandatory DEEWR fields should be translated into English and (b)
A portion of the paper/Book should be translated into English that can adequately
demonstrate the paper meets the DEEWR definition of research (2008 Draft
DEEWR Guidelines Sect 1.3.9). |

Question: |
A journal article is published online in 2007
and the hardcopy will be published in 2008. The Hardcopy has manuscript
available online 2007 but is cited to 2008. Which year should the paper
be recorded against in RM4? |

Answer: |
DEEWR has now clarified that the 2008 DEEWR specification
defines "publish" as being first made available to its intended
audience. This means that the article was published in 2007. |

Question: |
An author submits an article in a prestigious
refereed journal for the DEEWR Collection. The paper is a scholarly review
but contains no references. Will still qualify as research? |
| |
|
|
| |
Answer: |
DEEWR require that papers demonstrate substantial
scholarly activity as evidenced by reference to relevant literature through
footnotes or citations. Even if a paper is published in a high impact journal
the content will be assessed on a case by case basis. In this example there
were no references so the department or School must record the publication
as non-DEEWR (D category or scholarly review). |

Question: |
The Research Office notifies the department about
a TEMP (C1-TEMP) in PWI. The department publication coordinator opens the
entry. What should they do next? |

Answer: |
The coordinator should locate the hardcopy via
the ISI Current contents web link (http://www.lib.monash.edu.au/databases/1642507.html)
and print off the hardcopy. They should confirm the paper is correctly assigned
to their department. If correct then they scan the mandatory DEEWR fields
match the hardcopy. The coordinator must determine if the content meets
the DEEWR definition of research before changing the category to a C1 or
an alternate non-DEEWR category in RM4/PWI. Finally they attach a FORM 1
to the hardcopy and ask the first named Monash author to provide RFCD code/s
and signature. |

Question: |
A Book has two authors and two contributors.
How many authors should be recorded against this publication? |
| |
|
|
| |
Answer: |
The Vancouver protocols advise an "author"
should have contributed substantially toward the research content, writing
and manuscript preparation of a published work. In this context a "contributor"
has a different designation to an author and should not be recorded in RM4.
