How to get an ID card (M-Pass)

Before you can get a student ID card (M-Pass), you need to:

  • enrol in units in the Web Enrolment System (WES), and
  • have received an enrolment transaction number (this is the number in WES beginning with the letter U).

A student M-Pass is valid for up to five years. No one else can use your M-Pass, and the card remains the property of the University.

Make sure you have the following documents ready before you begin:

  • a scanned copy of a photo ID (e.g. passport, driver's licence)
  • the photo you’d like to have on your M-Pass
  • your enrolment transaction number.

To order an M-Pass

  1. Log into the Web Enrolment System (WES).
  2. In the Student Services section, click Submit your photo for an ID Card.
  3. Scan and submit a photo ID (e.g. passport, driver's licence) to verify your identity.
  4. Submit the photo you’d like to use for your M-Pass (see the photo guidelines).
  5. Confirm your details.
  6. Select the Receive by mail option and nominate the address where you’d like to have your card posted.

If you haven't received your new M-Pass within 10 business days, contact Monash Connect online or visit us in person at one of our service centres.

Reasons your application may be rejected

Your M-Pass application may be rejected if:

  • you haven't provided a photo ID (such as a copy of your passport or driver's licence) to verify your identity
  • your photo ID document (e.g. passport or licence) was cropped or wasn't scanned properly
  • you chose to receive your card by post but you didn't supply a valid Australian address
  • the photo you submitted doesn't conform with the photo guidelines.

If your application is rejected, refer to your ID Card Photo Rejected email to find out what you need to do and resubmit the application.

Access to secure buildings

If you need access to a secure building, contact your faculty access coordinator to get building access set up on your card.

  6. Select the campus where you’d like to collect your card (please don’t select the mail option: we don’t mail cards to places outside of Australia).

Collect your M-Pass and register arrival

When you arrive in Melbourne, visit Monash Connect to collect your student ID card and register your arrival. You must do this within the time frame specified in the email you received about registering your arrival, but it’s best to do it early.

When you come into Monash Connect, ensure you bring the following:

  • a photo ID (e.g. passport)
  • your enrolment transaction number (the number beginning with U in WES).

Access to secure buildings

If you need access to a secure building, contact your faculty access coordinator to get building access set up on your card.

If you’re enrolling at Monash University and you were previously at Monash College, you’ll need a student ID card (M-Pass).

To get your M-Pass, just come into Monash Connect with your photo ID, and we’ll print a card for you on the spot. However, if you’d like a new photo on your card, you’ll need to take a photo and email it to cardoffice.m-pass@monash.edu before you come in.

To get an M-Pass, either:

  • visit a Monash Connect service centre (or Human Resources)
  • email your request to Monash Connect.

Try to avoid coming in during peak periods, such as enrolment and orientation, when wait times are likely to be long.

When you come into Monash Connect, bring the following:

Alternatively, you can get an M-Pass from Human Resources. Go to the ground floor, reception, 211 Wellington Rd, Mulgrave.

Order your M-Pass by email

From your staff email account, send an email to cardoffice.m-pass@monash.edu containing:

  • your full name
  • your staff ID number
  • a photo ID (e.g. driver’s licence, passport).
  • the photo you’d like to have on your M-Pass (see the photo guidelines).
  • the address you’d like your M-Pass card to be posted to.

If you need help, please call 9905 1999.

You should receive your M-Pass card within 10 business days.

Finding your staff ID number

If you don’t know your staff ID number, in my.monash:

  1. select  ESS > My Services >  My Personal & Organisational Details
  2. under Personal Details, copy your Monash Personnel Number (ID number).

Getting building access

Once you have your M-Pass, please speak with your supervisor to set up building access.

ID photo guidelines

If you're requesting an M-Pass by email, follow these guidelines when preparing your ID photo:

  • don’t wear a hat or sunglasses in the photo
  • ensure there is no shadow on your face, glass reflection, or red eye
  • use a plain light-coloured background
  • supply the photo as a png, jpg, or bmp file
  • ensure the photo is not too small and the resolution is high (otherwise the quality of the photo on your M-Pass will be affected).
