Academic progress tools
Students assigned a risk level are asked to complete one of two tools to help them understand and explain why they have not met academic progress requirements, and to support faculties in determining whether an intervention is required. The content of the tools is reviewed regularly with key stakeholders, including students, to ensure continual relevance.
Students must complete the required tool when requested. Failing to can have serious implications on a student's ongoing enrolment. A reminder is sent, if we can see that a student has not completed the tool.
Students at risk levels 1 and 2 will receive a link to the My Progress and Support tool in their risk level notice. The tool provides a list of Monash resources, advice and support services tailored to their responses to a series of questions and course location. It contains 18 mandatory questions as well as optional free text fields relating to:
Areas of study that students are enjoying, not enjoying or are struggling with including:
- Are you enjoying your course? If not, why not?
- What areas of your course are you struggling with or need help with?
Whether a student’s living arrangements are impacting on a student’s study including:
- Do you have a suitable space to study away from noise and disruption?
- Do you have a stable home environment that allows you to study effectively?
- Do you have family or dependent responsibilities that are impacting your studies?
Student’s requirements, support or assistance with their health and wellbeing:
- Do you have a health condition (long or short term) that may impact on your ability to study (or if the system has identified that the student is registered with Disability Support Services, whether the known health condition has impacted on studies over the last review period)?
- Do you struggle to concentrate when you’re studying?
- Do you find yourself worrying about your studies?
- Do you feel lonely or socially disconnected?
Other commitments outside of study that might impact on the time dedicated to study including:
- How many hours a week do you spend working (paid or voluntary) or socialising with your friends (physically or online)?
- Do you feel that your social media use could impact your studies?
- Do you feel that your gaming use could impact your studies?
It takes 10-15 minutes to complete and students can save their responses at any time, to take a break or discuss their responses with their faculty or Monash Student Organisation. Students are not required to or able to upload any supporting documentary evidence.

Students at level 3 will be asked to complete My Academic Progress Response. A student's response (or non-response) to the form is used to determine next steps for students (for example, whether the student would benefit from enrolment conditions or be referred to a hearing. Where a student is referred to a hearing, this document (and supporting documentation) will be used by APC panel members to determine a decision.
It asks very different questions to My Progress and Support. The tool aims to help faculties understand whether a student is aware of the reasons why their academic progress is unsatisfactory, what steps they are putting into place to improve and if they are at risk of not being able to successfully complete their course. For example:
- Student’s reflections on any problems or issues that are impacting on their academic progress such as:
- experiencing problems with language and/or the skills needed in order to learn effectively.
- experiencing a health condition that made study difficult for some or all of the teaching period.
- struggling with aspects of university life (e.g. difficulty settling in, problems managing their schedules).
- Number of hours spent on study or other activities for a student's course once any distractions have been discounted.
- Strategies for planning classes and assessments and applying their learning
- Concise plans they have taken to improve their academic performance
Other options via My Academic Progress Response
Students can elect to discontinue or request an alternative exit from their course by selecting option 3 or 4. Once this option has been selected, faculties should manage the request as per usual internal processes and students should not be directed to Monash Connect.
The Academic Progress portal within uniCRM is a dedicated platform to review and manage student’s receiving a notice of unsatisfactory academic progress. In the portal you are able to:
- review My Progress and Support and My Academic Progress Response submissions including uploaded supporting documentation
- share the responses and other relevant data with those involved with Academic Progress Committee hearings such as panel members and student advocates, and staff running course progression meetings
- record and track interventions and meeting/hearing outcomes and notes for example, exclusions, enrolment conditions and/or recommendations made at a course progression meeting
- send communications to your students.
You will require UniCRM access to use the portal with access strictly limited to faculty staff that perform academic progress administrative functions only.
There is a user guide (updated July 2022) and a number of videos (full version or individual) for your use. Over time we will add additional information to these materials, as informed by your feedback and the development of the technology.
A student snapshot containing the key student information appearing in UniCRM (including their tool response and documentary evidence) is provided to appropriate stakeholders who do not have access (such as ADEs, APC panel members and students).
