Mobile Food Vendors (Food Trucks/Vans) at Monash University

Monash University Clayton and Caulfield campuses have a diverse range of on-campus retailers with the capacity to cater for a large range of campus needs. However, from time to time, Event Organisers may wish to use external Mobile Vendors. In all instances, Event Organisers are encouraged to first consider whether their requirements can be met by on-campus retailers, prior to bringing any Mobile Vendor onto campus.

1. Mobile Vendors may trade on campus from time to time:

  • Where the retail need cannot be met by on-campus retail options (e.g., retail is shut the day or time of the event, or the event requires a specific cuisine not available on campus).
  • To enhance the activation and vibrancy of a specific events or festival.

2. When a Mobile Vendor does trade on campus, they must not be located in proximity to on-campus retail, which will be ensured by Monash University Venues. See the below campus maps for reference.

3. Prior to a Mobile Vendor being engaged, the event organiser should first seek approval from the Manager, Campus Experience and Major Events (Campus Community Division), providing details including day, time, location and name of vendor. Any Mobile Vendor that has not been approved by Campus Community Division will be requested to leave and will be escorted off campus by Security.

Information for Mobile Food Vendors

When a Mobile Food Vendor is invited to trade on campus the following steps need to be followed:

1. Register your business or company You will need to provide the following documentation through this process.

b. Company Trading Name

c. ABN

d. Email Address

e. Phone Number

f. Streatrader Registration

g. Certificates of currency for the insurance

h. Statement of trade

i. Vehicle details, such as vehicle dimensions, weight and photographs

2. The Event Organiser will confirm the following:

a. Location

b. Time and Date

c. Bump In and Out information

3. The Mobile Vendor must provide Event Organiser with all required documentation including relevant insurances, registrations and licenses. The Event Organiser should forward these documents to BPD Helpdesk and MU Venues.

4. MU Venues will send the Mobile Vendor Licence Agreement, signed on behalf of the University to the Event Organiser. Event Organiser should forward the Licence agreement to the Mobile Vendor for execution, without this the Mobile Food Vendor can not trade on campus.

5. BPD helpdesk / Monash University Venues and the Event Organiser are responsible for ensuring the Mobile Vendor completes the University's OH&S induction training prior to arriving on campus. Failure to comply with this will result in cancellation of the Mobile Vendor’s attendance.

6. Monash University Venues is responsible for informing Campus Centre Security about the date and time of the Event on campus

7. On arrival to campus the Mobile Food Vendor must report to a contractor kiosk location and collect contractor stickers for all staff. They must then report to security where Campus Security & Traffic will safely escort mobile vendors on and off campus.

8. Event organisers are responsible for ensuring site is clean post event.

Information for Event Organisers

When inviting a Mobile Food Vendor to trade on campus the following steps need to be followed:

1. Event Organiser must familiarise themselves with the Mobile Food Vendor Procedure.

2. Approval for a Mobile Food Vendor to trade on campus must be requested from Campus Community Division.

Responsibility: Event Organiser/Manager, Campus Experience and Major Events

3. Seek approval from Monash University Venues regarding the location where the Mobile Food Vendor may trade (9905 3101).

4. Ensure the Mobile Food Vendor has completed a an induction (Tenant, Cleaner & Events).

5. Provide Mobile Food Vendor with Mobile Food Vendor License Agreement (supplied by Monash University Venues) signed on behalf of the University, without this the Mobile Food Vendor can not trade on campus.

6. Provide event logistical details to the Mobile Vendor.

7. Manage Mobile Vendor whilst onsite and ensure the event site is clean post event.
