Academic Promotion - frequently asked questions

The portal to lodge your 2026 academic promotion application for levels C, D, and E opens on Monday, 15 September 2025 and closes on Monday, 10 November 2025 at 5pm (AEDT), 2 pm Malaysia/Suzhou, 1 pm Indonesia time.
If you are applying to Level B, you can submit an application at any time of the year.
Information sessions for the 2026 Academic Promotion round will be held in August 2025. Details of information sessions are available here.
A series of video resources has been developed to support your application preparation. The key topics include: vision, education, research (including non-traditional research outputs), engagement and impact, and relative to opportunity.
Promotion to Levels C and D will be held between February to April 2026.
Professorial promotion will be held in May-June 2026.

Successful promotions to levels C, D and E normally take effect from 1 July of the year following application.
Successful promotions to Level B take effect from the date the promotion application is approved.
These outputs should be chosen from your Research Achievement Record (i.e. nominated outputs are those since appointment to your current level).

You will need to include a DOI link and provide copies of these nominated outputs with your application. Publishable outputs must be published and not under review or any other status.
Consideration must be given to the length and size of documents, as to what is reasonable for external assessors and members of the committee to read. For large outputs, such as a book, applicants may nominate up to two chapters (as one nominated output). In this circumstance, only the relevant chapter/s must be attached, not the book.
Non-traditional outputs may be considered; please contact your Deputy/Associate Dean (Research) for advice.
For Education-focused applicants, please nominate pedagogy research outputs. Seek advice from the Deputy/Associate Dean (Education) for clarity.

What would my application for promotion include?

The online application portal will prompt you to load each of your files as a separate PDF document.
Convert all documents, including the Research Achievement Record into PDF before uploading them.

Two independent assessors are required for each application to levels C, D and Professorial, of which the minimum international assessors are:
- one international assessor for level C; and
- two international assessors for levels D and E.
Required international assessor numbers may be waived where the most eminent scholars in a particular discipline are based in the applicant’s primary location.
You will not be made aware of who the nominated assessors are.
You have the option to nominate individual(s) to be excluded as an external assessor in Part D - Section 9: Assessor Exclusion of the Case for Academic Promotion form.
If you have a varied workload allocation or have significantly changed your workload since your last promotion, you may address this in Part A – Section .2 Workload Allocation or in Section 5: Relevant Circumstances (Achievement Relative to Opportunity) of the Case for Academic Promotion form.
The Associate/Deputy Dean (Education) and (Research) (or nominee) are core members of Australia Faculty Level C and D promotion committees.
The relevant Associate/Deputy Dean (Education) and (Research) will prepare written reports for professorial, Malaysia and Indonesia applicants.
The Vice-President Research and/or the Vice-President Education (as relevant) will complete a report providing context relative to the location of professorial applicants at our international locations.
Reports are confidential to the process and are not provided to applicants.
Level C - may be interviewed at the Chair's request. The promotion coordinator will advise you if this occurs.
Level D & Associate Professor/Senior Research Fellow - are expected to be available for interview.
Professorial - are expected to be available for interview and should diarise each of the scheduled dates until further notification.
You have one opportunity to present new information that meets the following criteria after you have lodged your application. This new information must be submitted not later than five weeks prior to the first committee meeting date. The new information template form is used for this purpose.
New information is limited to a maximum of 2 pages.
Applicants attending an interview will also have the opportunity to update the committee on the day. The Committee will not accept hard or soft copy new information presented outside this process (including at an interview with the Committee using audio-visual technology).

Education Performance Standards (EPS) - frequently asked questions

Education Performance Standards describe expected performance in Education and differentiate performance across different roles (Teaching and Research and Education-Focused) and by level (equivalent to levels A to E).
Performance expectations are based on unit evaluation data, teaching evaluation data, outcomes of summative peer review of teaching and formative peer reviews of teaching (optional). Indicators call for demonstration of evidence against the practice elements.

This is an expectation but if your profile does not meet this requirement, discuss this with your supervisor and/or the Associate/Deputy Dean (Education) and address the alternative Practice Element in Impact on Educational Knowledge.

Peer Review of Teaching - frequently asked questions

It involves a process of having a colleague review one’s teaching and provide feedback. Peer review is a natural extension of the professional learning offered at Monash through Monash Education Academy (MEA) as well as within Faculties.
All staff applying for promotion will be expected to have a Summative peer review of teaching conducted, as it is an essential part of the application process. You may discuss this with your relevant Deputy/Associate Dean (Education).
If you are research-only and do not have education as part of your case, a summative peer review of teaching is not required.
All staff applying for promotion will be expected to have a summative peer review of teaching conducted in the year in which they apply for promotion.
To request a Formative or Summative Peer Review of Teaching, register with PeerView and request your review there. Request a Summative Peer review for promotion purposes.
Staff can discuss this with their Associate/Deputy Dean (Education). If eligible, staff may apply for an exemption.
All modes of teaching can be peer reviewed. It can be done on a real time online learning session or an asynchronous online session where students engage with the learning you create for them in their own time. Identify the mode of your session when you request a review in Peerview.monash. More information on how these modes are accommodated is outlined here
If you are not teaching in semester one or two of the year of applying for promotion, please contact your relevant Associate Dean (Education). If eligible, staff may apply for an exemption, completing a Peer Review Exemption form. The Associate Dean (Education) assesses exemption requests.
You will submit this form with your promotion application in place of the summative peer review of teaching.
Your faculty will draw on respective relevant Faculty-based staff or those external to the Faculty to conduct the reviews. For a Summative Review, you will be allocated a Reviewer. For Formative Review, you may select a reviewer. For non-faculty staff, contact your relevant academic promotion coordinator.
Promotion will be based on a number of data points of evidence about your practice. It will not rely on one alone.
Peer Review is evaluating your teaching and learning practice and not your content knowledge. Research tells us that those less familiar with the disciplinary content can often observe aspects that those closer to the discipline tend not to observe.
