Enrolling in your research degree

Take your next steps

Now that you've accepted your offer, you are ready to enrol. Once you have met any conditions specified in your offer of admission, you must finalise your enrolment within 10 working days of your commencement date which is specified in your offer. If you are unable to start by the date indicated in your offer, you will need to apply to change your commencement date.

Below is what you need to know to enrol for:

  • Internal Doctorates/Research masters;
  • External Doctorates/Research masters;
  • Monash University Malaysia;
  • Monash University Indonesia
  • Internal transfers (Masters to PhD or vice versa); and
  • Joint research awards.

Pre-enrolment

To create your Monash account, you will need your Monash ID number (which you can find in your offer letter).

It may take a few hours for your account to be activated and you need your Monash account activated to continue the next steps of your enrolment.

Graduate research students are not able to complete their enrolment via WES. Your enrolment is completed directly with the Monash Graduate Research Office - Please see Preparing for your enrolment below for further information.

Using your Monash account, you will need to register your details online.

Within the Web Enrolment System (WES), select the Enrolment / Re-enrolment link and complete the following only:

  • (update) your address and contact details;
  • fill out the Enrolment Questionnaire;
  • complete the student amenities fee (SA-HELP) module (you'll only see this if you're eligible and after completing the Questionnaire); and
  • agree to education rules and health cover for overseas students (international students only).

Preparing for your enrolment

As part of your enrolment the following documents are required. Some of these documents you would have provided with your application; however, it is a condition of enrolment that the originals or certified copies are sighted.

  • Course Enrolment form - Please note, some courses have a coursework component and require additional signatures. Please refer to the Faculty specific requirements tab for further details
  • An intellectual property and ethical research declaration must be completed by all graduate research students. We will be unable to progress your enrolment until you have submitted this form and your supervisor has approved it. Please ensure you discuss intellectual property with your supervisor prior to submitting this form. You may wish to familiarise yourself with the Graduate Research Student Intellectual Property Guidelines and the information available on the Research Ethics and Integrity website.
  • Scholarship Banking Details form (if you have been awarded a University scholarship). Please note that scholarship payments occur fortnightly to a fixed schedule. International students will need to ensure that they have sufficient funds available to support their living costs, from the date of arrival to when scholarship payments commence.
  • Original or certified copies of your academic transcripts (certified copies or My eQuals links are requested) - Indicating successful completion for all qualifications completed at institutions other than Monash University (not required for re-admission students and internal course transfers)
  • Original or certified copy of your proof of citizenship (photocopies will not be accepted) - Passport, birth certificate or citizenship certificate (not required for re-admission students and internal course transfers)
  • Copy of Visa (international students - visa should be valid to study for the duration of your course)
  • Evidence that you are currently residing in Victoria (internal/on-campus mode only) - For example a copy of your boarding pass or utility bill
  • Any other documents as identified and listed in the Conditions of Offer section on your course offer letter (if applicable)

If any documents are in a language other than English, you must provide certified translated copies. Monash prefers NAATI qualified translators.

If your particular program has a coursework component, these units should be added to your course enrolment form before being sent to your department and/or faculty for their approval. Once approved, you can submit your course enrolment form to MGRO.

Finalising your enrolment

To commence your enrolment, please email all required documents to mgro-candidature@monash.edu, alternatively you are welcome to attend our office to enrol in person. Our office location can be found on our contact us page.

Please note, If you chose to enrol via email, you may be asked to present original documents at a later date.

It is not currently necessary to visit your campus to enrol and you may enrol via email. Note that if you are enrolling as an internal student, you must be located within commuting distance of your Victorian research location/campus.

You will receive an enrolment confirmation email once your enrolment has been finalised.

International students
In addition to the documents outlined in preparing for enrolment, if you are enrolling as an internal student, you are required to provide a Victorian home address and evidence that you are currently residing in Victoria (such as a copy of your boarding pass and utility bill - all documents will be treated confidentially). Please contact us if you are unable to travel to Victoria.

Please contact your Malaysia School office to provide all required documents. The Malaysia office will liaise with us to finalise your enrolment.
