Adding content and artifacts
Producing your portfolio
Monash ePortfolio has lots of features you can use to create your ePortfolio. Your ePortfolio may be made up of individual pages, or groups of pages called collections. Watch the videos below to learn how to create pages and collections (groups of pages), and edit pages.
Creating a page
- From your dashboard, click Create to go to the Portfolios page, then click Create in the top right corner and select Page.
- Enter a title for your page, add an optional description or tags to help search for content later, and click Save.
- Once saved, you will automatically enter Edit mode where you can use the right-side menu icons:
- Plus icon: Add content blocks to your page.
- Settings icon: Update your page title, description, or tags.
- Screen icon: Preview your page as it would appear to others.
- Share icon: Manage your portfolio sharing settings.
- Stacked layers icon: Return to the main Portfolios landing page.
- While in Preview mode, use these right-side options to manage your page:
- Pencil icon: Switch back to Edit mode.
- Three dots icon: Access options to copy, share, print, delete, or save the page to a timeline.
Creating collections
- Navigate to your Portfolios page, click Create in the top right corner, and select Collection.
(Note: You must have at least 2 pages created already to build a collection.) - Enter a title for your collection, add an optional description or tags, and ensure Page navigation bar is enabled so viewers can easily navigate your pages.
(Optional: If your teacher has set up a SmartEvidence framework, select it here from the dropdown menu.) - Click Next: Edit collection pages and select the checkboxes for the pages you want to include.
- Click Next: Edit Access to manage who can view your collection or generate a secret URL. You can configure this now or set it up later.
- Click Save to return to the Portfolios landing page, where your new collection will be displayed.
- Manage your collection using the icons on its tile:
- Three dots icon: Edit, delete, or manage the collection settings.
- Lock icon: Quickly adjust sharing and access options.
- Page icon: View a list of all pages included in the collection.
- Click on the collection title to view it. Use the navigation bar in the top right corner to jump between pages.
Editing a page
- Navigate to your Portfolios page, click the three dots icon on your page tile, and select Edit (or click the Pencil icon on the right-side menu if you are already viewing the page).
- Click the Plus icon to add a block. You can either drag it directly onto the page or click the icon and choose to place it at the top or bottom.
- In the block settings panel, enter a Block title and choose your desired content type. Click Show more to see all options, which include:
- Text: Enter your written content directly into the text editor.
- Images, files and videos: Upload assets or embed web content (e.g., YouTube or Panopto).
- Plans and journals: Add structured logs and diaries.
- Configure your block settings as needed:
- Review any teacher instructions displayed in the panel.
- Add optional tags for easier searching.
- Select Retractable if you want users to be able to minimize the block, or set it to Automatically retract to keep it minimized by default.
- Click Save to place the block on your page.
- Manage your blocks while in Edit mode:
- Move or resize: Click and drag the arrow icons in the corners of the block.
- Edit: Click the Pencil icon on the block to change its content or settings.
- Delete: Click the Trash can icon to remove the block. (Note: If you are using a teacher's template, deleting predefined blocks may be disabled.)
- Click the Screen icon on the right menu to preview how your page looks to others. While in preview mode, you can use Quick edit to make fast changes to a block.
- Click the Pencil icon to return to Edit mode, or navigate back to the main Portfolios page to see your updated work.
Adding files
Recommendation: Upload your files to the Files area before editing your page. This allows you to easily select existing assets and prevents you from uploading duplicate copies of the same file.
- On your portfolio page, click the Plus icon. Drag the block onto the page, or click the icon to position it at the top or bottom.
- In the block settings panel, enter an optional Block title (leave this blank if you prefer the file to display without a header) and select File as the content type.
- Click the Files dropdown to view your assets. Click the Checkmark icon next to the file (or multiple files) you want to include. You can also upload a new file directly from this menu if needed.
- Click Save. Your selected files will appear on the page as a clean list, featuring a download button on the right side of each file name.
- Adjust the size of your file block at any time by clicking and dragging the arrow icon in the bottom corner of the block.
Adding images
Recommendation: Upload your images to the Files area beforehand. This allows you to select existing assets and avoids cluttering your account with multiple copies of the same file.
- On the target portfolio page, click the Plus icon. Drag the block onto the page or click the icon to place it at the top or bottom.
- In the block settings panel, enter an optional Block title (leave it blank if you want the image to display without a header) and select Image as the content type.
- Click the Image dropdown to select an image from your Files area, or upload a new one directly if you haven't used it before. Click the checkmark icon next to the image you want to add.
- Configure your display settings:
- Show caption: Select Yes to display a description under the image. If you haven't specified a custom caption, the file name will be used automatically. Ensure your file names are appropriate for public viewing.
- Decorative image: Select Yes if the image is purely for visual decoration and contains no informational value.
- Click Save to place the image on your page. You can resize it by clicking and dragging the arrow icon in the corner of the block.
- Accessibility check: Click the Pencil icon on the block to add Alt text (a brief description read by screen readers for users who are blind or have low vision).
Tip: Avoid using images that contain a large amount of text. If an image is marked as a Decorative image, alt text is not required.
Adding design elements and skins
Skins allow you to add further customisation to your portfolio, and reinforce themes you might be working with. You can use provided skins or make your own.
