Submitting assessments

You can submit an ePortfolio for assessment using the assessment drop box on Moodle. The video below outlines the process, as attaching your ePortfolio is slightly different to uploading a document for assessment. When you submit an ePortfolio through Moodle, this generates a new copy of your collection or page to prevent it being edited before the work is marked.

  1. Navigate to your unit's Moodle site, go to the assessment section, and click on the link for the specific ePortfolio assignment.
  2. Click the Add Submission button.
  3. Review the displayed list of your ePortfolio pages and collections.
    (Note: All pages and collections created in your ePortfolio account will automatically link here. If you do not see your work, return to the ePortfolio platform and ensure your pages are titled correctly.)
  4. Select the checkbox next to the specific page or collection you wish to turn in, then click Save changes.
  5. Review your draft by clicking on the ePortfolio link, which will open your submission in a new tab for a final check.
  6. Once you are satisfied with your work, click Submit assignment.
  7. Review the Academic Integrity information, select the checkbox to accept the student statement, and click Continue to finalize your submission.

Share your ePortfolio with external reviewers

You may be required to share your portfolio with people outside of Monash for review.

  1. Navigate to the specific ePortfolio page you need reviewed.
  2. Scroll to the bottom of the page and select your reviewer from the dropdown list.
  3. Click Submit and confirm when prompted.

Important: Once submitted, your page will be locked, and you will no longer be able to make any edits or changes. Your reviewer will automatically receive an email containing a secret URL to access your portfolio.

  • If you need to change your reviewer:
    • Click the three dots icon and select Reassign reviewer.
    • Select the reason for reassignment from the dropdown menu, click Submit reason, and confirm.
  • If your reviewer is not in the dropdown list:
    • Click Add reviewer.
    • On the Add New Reviewer page, enter their First name, Last name, Email address, and Organisation (Note: You can skip the organisational role, license type, or license number fields, as the reviewer will fill these out themselves).
    • Click Submit and click Yes to confirm.
  • Checking your review status: Once your reviewer finishes, the "Review completed" status will change to Yes, showing the exact date and time of completion. To view any feedback, comments, or attached files they left for you, simply expand the Comments section at the bottom of the page.

Share ePortfolio with others using a Secret URL

Students can share their ePortfolio Pages or Collections with people outside the University, such as prospective employers, subject specialists or external examiners, using a secret URL. This provides users who do not have a Monash ePortfolio account to access your portfolio, without making your work publicly available and searchable.

  1. From the dashboard, click the Create tile to navigate to the Portfolios page.
  2. For the Page or collection that you would like to share via secret URL, click on the lock icon in the bottom right corner of the tile.
  3. Select Manage sharing. This will open the “Manage sharing” page for the selected page or collection.
  4. Click +New secret URL. This will generate a unique link which external users can use to access your ePortfolio. You can create multiple secret URLs this way.
  5. Once created, you can:
    • Click the copy icon to copy the URL onto your clipboard. You can then copy and paste the link into an email, or share it with an external user using other methods.
    • Click the pencil icon to edit the access dates. If specified, external users will only be able to access your ePortfolio via the secret URL link during that time. If not specified, access will not expire.
    • Click the bin icon to delete the secret URL. This will remove access to your ePortfolio via the secret URL link.
