Managing storage and videos

While other uploaded files can also affect your storage space, videos are currently the biggest contributor to students reaching the 900MB ePortfolio storage quota. This guide focuses mainly on video management to keep the advice clear and easy to follow.

If you need more storage space, review and remove large or duplicated files you no longer need in your ePortfolio.

Delete files and videos from ePortfolio

Delete files

  1. Navigate to Monash ePortfolio.
  2. Click on the menu in the top right corner.
  3. Expand the create section.
  4. Click on Files.
  5. Here you can check your storage quota and see all of the files you have uploaded to the ePortfolio platform.
  6. You can click on the file name to download a copy of it.
  7. To delete a file, click on the bin icon for that file.
  8. Once you have deleted a file, ensure that you update or delete any blocks that were included on portfolio pages that contained the deleted files.

Note: If you have already submitted your portfolio, you will not be able to delete videos or files included in your submitted portfolio. Reach out to ServiceDesk to unlock your Portfolio submission, if needed.

Embed Panopto videos in ePortfolio

Uploading your video to Panopto

  1. Navigate to Panopto.
  2. From the left hand menu, click Browse and search for your unit code.
  3. Browse for your unit assignment folder which is the full name of your unit with assignments in square brackets at the end. You may need to scroll across to see the full name. Ensure you have selected the correct folder, making sure that the year and semester is correct.
  4. Click +create and select upload. Select your video file. You can also drag and drop your video file directly into the folder.
  5. Once uploaded, hover over the video thumbnail and click on the sharing settings icon.
  6. If your portfolio will be shared with people externally from monash, ensure that you update the sharing settings to Public (unlisted), otherwise leave it on the default setting, Your organisation (unlisted).
  7. Click Embed, then Copy Embed code.

Embed Panopto videos in your Portfolio

  1. Navigate to Monash ePortfolio
  2. Navigate to the portfolio page where you would like to embed your Panopto video.
  3. In edit mode, you can click and drag the blue plus icon to where you would like your new block to appear.
  4. Click the blue plus icon at the top of the right hand side menu. The Add new block pop-up window will appear. In Position, you can choose if your new block will be added to the top or bottom of the page, then click Add.

    Note: If you do not see the blue plus icon, you may be viewing the page in preview mode. Click the pencil icon in the right hand side menu to return to edit mode.

  5. Give your block a title.

    Note: You can leave the title blank, however if left blank you will not be able to make the block expand/retract (similar to an accordion).

  6. Click Show more to view additional block types until you see the External media.

    Note: Do not use embedded media as this only allows you to select files from your uploaded files.

  7. Paste the Panopto video embed code into the URL or embed code box. Click Save.
