Responsible Artificial Intelligence (AI) image generation guide

These guidelines outline compliance requirements for staff utilising AI image generation tools. They will help ensure all your communications align with our values, ethical benchmarks, and legal standards before use.

AI image tools help develop concepts faster, support campaign ideation, and create illustrative content where photography is impossible.

As a university, we carry higher trust obligations. Imagery representing education, research, and people must remain authentic, evidence-based, and inclusive.

Use AI imagery where it adds value, avoid it where authenticity is critical, and always retain human accountability. If you’re unsure, refer to monash.edu/ai/ai-for-staff

Monash University people

Do not upload photos of Monash students, staff, or community members into any AI tools – including Monash-approved AI tools. We currently don’t have consent to process imagery from Monash photoshoots through AI engines. Stock imagery featuring non-Monash people is permitted.

Campuses and University locations

Photos of Monash University campuses. buildings and locations can be uploaded into Monash University approved AI engines. However, please ensure that campuses, buildings and locations aren’t misrepresented, altered or new versions created.

Abstract images

Abstract images can be generated using our Monash approved AI tools. Don’t forget to caption any AI generated images e.g. This image was generated using AI.

Responsible AI principles Prohibited use cases
  • Fairness: Avoid bias, stereotyping, or discriminatory representations.
  • Privacy and security: Do not input sensitive, proprietary, or personal data into prompts.
  • Accuracy: Ensure imagery does not mislead, deceive, or misrepresent reality.
  • Transparency: Clearly disclose and label when AI-generated images are deployed.
  • Accountability: Staff retain final responsibility for reviewing and approving all outputs.
  • Safety: Avoid the production of harmful, inappropriate, or unethical content.
  • Indigenous cultures and knowledge: When engaging with Aboriginal or Torres Strait Islander knowledges, cultures or data.
  • Fake Monash University students and staff: Presenting synthetic people as real community members.
  • Synthetic testimonials: AI-generated people or endorsement quotes.
  • Deepfakes: Manipulating real likenesses or executive endorsements.
  • Fabricated campus: Visualising non-existent facilities or events.
  • Crisis and safety: Generating emergency updates or safety instructions.
  • University brand elements: The creation/manipulation of Monash brand elements such as the Monash logo is not permitted.

Checklist

  • Approved university tool utilised.
  • No sensitive or personal data included.
  • All responsible AI principles followed.
  • Content vetted against prohibited list.
  • ALWAYS conduct a manual human review for quality and accuracy.
  • Clearly caption AI generated images with some simple wording e.g. this image was generated using AI.
