New Induction Portal launched

A new online workflow management tool, designed to guide both supervisors and new staff through the first three months of employment, has been launched by HR.

Developed collaboratively between Monash HR and their clients, the Induction Portal is an online workflow management tool designed to guide both supervisors and new staff through the first three months of employment. It provides easily accessible tools and resources to assist new staff in setting up the foundations for a successful career at Monash. The induction portal is designed to complement the Induction website launched in July this year.

Fully integrated with our current online recruitment system (REX) the Induction Portal has two portal interfaces; one for supervisors and one for new staff members. The system will keep all the information for a new staff member in one centralised location. It presents the information in a logical and timely sequence and enables the supervisor to have control over the new staff member’s initial experience.

Supervisors can use this tool to quickly create a tailored induction plan for new staff to ensure they are up and running as quickly as possible. Monash recruits over 4000 staff annually, with around 33% on ongoing or fixed-term contracts. All of these staff require a consistent induction. A robust induction has also been shown to increase the likelihood of employee retention and protects the investment made in recruiting them.

Supervisors will receive an email inviting them to log in to the Induction Portal when the new staff member accepts their online offer of employment. In the supervisor’s portal, supervisors will be able to:

  • assign a professional or academic induction workflow to new staff
  • track new staff’s progress online through live information
  • create and save tailored induction activities for work areas
  • create and save whole induction plans to a ‘favourites’ list
  • Indicate completed activities through a simple check box system for one or multiple staff members.

Reminder emails make it easy to ensure critical induction activities such as Essential Online Induction Training, are being completed.

The new staff member will be guided to the Induction Portal after accepting their online offer. The induction information on this portal mirrors what is currently available on the Induction website. This Portal is a dynamic task list that has been set up by the Supervisor and can be ticked off by the staff member on completion.

Gavin Horrigan, Alfred Medical Research and Education Precinct Manager, said it has had a positive impact on new staff so far.

"This is an excellent tool that makes people feel welcome and assists them to get up to speed as they start work at Monash," Mr Horrigan said.
