Academic annual leave declaration process for 2016

Monash HR is pleased to offer academic staff the option to manage their annual leave for 2016 via a single declaration process.

Academic staff members can choose to make a declaration in ESS that they will take their full annual leave entitlement in the 2016 calendar year. As a courtesy, they should still advise their supervisor of intended absences during the year, but will not be required to apply for each occasion of leave through ESS. This arrangement is optional however they can continue to apply for annual leave through ESS, if preferred.

Opting in

Academic staff members wishing to take up this option should take the time to familiarise themselves with the relevant section of the Remuneration and Benefits Procedure – Types of leave (annual leave) to ensure that they are eligible to make the declaration and that they are aware of the terms and conditions that apply.

The declaration can then be made by logging into Employee Self Service (ESS) and clicking on the Opt-in for Academic Annual Leave Scheme link. This can be found on the Services Overview Page, beneath Quick Links under Leave Information. Staff should read the terms and conditions of the declaration carefully before submitting it.

Please note that in order to take up this option, staff must submit the declaration between 4 November and 11 December 2015.

Staff planning to take continuous annual leave during December and January

Those who choose to make the declaration and are planning to take a continuous period of annual leave during December and January should:

  • apply for annual leave in ESS as per the standard process for all leave up to and including 22 December 2015, which is the final University working day of 2015
  • complete the declaration that they will take their full entitlement of annual leave for 2016.

All other types of leave

The declaration option applies only to annual leave. All other leave should be applied for as per the standard processes. Please note that this option is only available to those who are a Monash University employee from 1 January 2016.
