Changing your personal details
You can check your name, gender, email address, phone number, address, Monash ID and emergency contact info with our virtual assistant. It only takes a moment and you’ll need to be logged in with your Monash student account.
Make sure your personal details always stay up-to-date.
- Name, preferred name, gender, pronouns, title and date of birth
- Address, phone number and emergency contact information
You can use the Change Your Personal Details form to change or correct your name, date of birth or title, tell us your preferred first name(s), nominate your pronouns, and change your gender marker at Monash University. Once you submit the form, it’ll take us between three to five University working days to make the changes.
What you need to know
You’ll need to make sure that the personal details you provide to the University match government records (e.g. Centrelink, the USI Registry System and the Australian Taxation Office). If you don't do this, you could encounter some problems – see what you'll need to update for more information.
Updating your preferred first name(s)
You might want to update your preferred first name(s) with us if:
- you’d prefer not to use your legal first name
- you’d like your first name displayed without your middle name(s)
- you want to correct the order in which your names appear in our systems.
Current students
If you’re a current student, submit a Change Your Personal Details form. Remember to include any relevant supporting documents. You can also update your pronouns in the Student Portal.
Past students
If you’re a past student or an alumni, you'll need to:
- Complete the Change Your Personal Details (Alumni and Past Students) form (pdf, 0.15 mb).
- Submit an enquiry through MoVA, and attach the form and any relevant supporting documents.
Supporting documents
You’ll need to attach certified copies of your supporting documents before you can submit the form (unless you’re changing your gender marker, sharing your preferred first name(s), nominating your pronouns, or updating your title).
How to certify a copy
To certify a copy, take the original document and a copy to an authorised-person who must then write on each page of the copy document:
'I have sighted the original document and certify this to be a true copy of the original.'
The person should sign each statement and provide their designation (e.g. Pharmacist).
What happens next
After you’ve submitted the form, we’ll update your personal details in Monash University systems and send you an email once the updates are complete – this should take up to five working days.

You can change your home address, postal address, phone number and emergency contact information in the Web Enrolment System (WES) (we can't take requests by phone or through our virtual assistant).
Research degree scholarship holders
You'll need to update your personal details in WES and notify Monash Graduate Research.
International students
As a condition of your visa, you’re required to provide your Australian postal address to Monash University.
You can do this by updating your details in WES within seven days of:
- arriving in Australia, or
- changing your address.
If you're under 18 and on a student visa, you'll need to get Monash Connect to make any changes for you.
