Personal details: What you should know
We'll update as many Monash University systems as we can, but there are a few things you'll need to update:
- your personal details recorded by government organisations
- your legal name and/or gender (if you need to).
Government organisations
We’re required to report your personal details (except your preferred first name, title and pronouns) to the government, so you need to check that your information is also up to date in official government records.
Australian Taxation Office (ATO)
You need to update your details with the ATO directly (we're not permitted to do this on your behalf).
To be eligible for a HELP loan, you need to make sure the details you provide us with (your name, gender, date of birth, home address and tax file number) match the details held by the ATO. If they don't match, we won’t be able to verify your tax file number and you won't be eligible for a HELP loan – this means you'll need to pay your course fees up front.
USI office
You may also need to update your details in the Unique Student Identifier (USI) registry system to make sure your USI is verified.
Centrelink students
You’ll need to make sure your personal details at the University match Centrelink’s records (otherwise your support payments may be interrupted).
To update your details with Centrelink:
- Log into myGov.
- Select Centrelink.
- Select MENU from your home page.
- Select My Details then Personal and contact details.
Government reporting on gender
The University is required to report gender information in our student database to the government. We’re working on improving how gender is captured at Monash, but at the moment, gender is recorded in our student database as F (female), M (male), or X (non-binary/gender diverse). When you update your details with Centrelink, you’ll need to make sure your gender matches our student database.
Changing your name or gender legally
You can contact the Registry of Birth, Deaths and Marriages Victoria to find out how to:
